Why do we ask for your consent?
We are committed to protecting the privacy of all personal data you provide us for IAPD Events registration. The following statements describe what we are doing with your data and how long we store it, so you are fully informed prior to submitting your personal information for the Course registration.
About this survey
Why are we requesting your personal data?
You are invited to participate in this research because you are the President or nominated representative of an IAPD National-Member Society.
The survey will help the International Association of Paediatric Dentistry (IAPD) prepare for the National-Member Society Networking Meeting, Navigating Fluoride Use in the 21st Century, taking place on 12 November 2026 in Barcelona, Spain.
The findings may also contribute to a future IAPD publication describing international experiences of fluoride-related public discussion, professional confidence, guidance and communication needs.
Participation is entirely voluntary. You may choose not to participate or may stop before submitting the survey. Your decision will not affect your relationship with IAPD or your participation in the Networking Meeting.
Why you have been contacted
You are being contacted in your professional capacity as the President or nominated representative of an IAPD National-Member Society.
Your name and professional contact information have been obtained from IAPD National-Member Society records or public professional directory sources.
These contact details are being used only for purposes connected with this research, including distributing the survey, identifying the appropriate National-Member Society representative, tracking participation and sending appropriate follow-up reminders.
What personal data will be collected
The survey asks for the following information:
- your name;
- your professional email address;
- your position within your National-Member Society;
- the name of your National-Member Society; and
- your country.
The survey also asks about fluoride use, public discussion and concerns in your country, professional confidence, national guidance, communication resources and the support that may be useful to your society.
Because your name and email address are collected, your survey response is confidential but is not anonymous at the point of collection.
Technical tracking features that are not necessary for the research, including IP address logging and geolocation data, will be disabled where technically available in the survey platform.
Personal information about patients or other individuals
Please do not provide personal information about patients or other individuals
The survey is not intended to collect personal data concerning patients, parents, children, individual dentists or other third parties.
When answering open-text questions, please provide information only in general terms.
Please do not include names, exact locations, exact ages, detailed medical or dental histories, practice details, or any other information that could directly or indirectly identify a patient, child, parent, dentist or other individual.
If identifying information about another person is entered inadvertently, the research team will remove it from the research dataset where reasonably possible before analysis.
Legal basis and consent
For participants located in the European Union (EU) or European Economic Area (EEA), the processing of personal data is subject to the EU General Data Protection Regulation (GDPR).
Participation in the study and the processing of your personal data for the purposes described in this notice will be based on your affirmative consent.
Before beginning the survey, you will be asked to confirm that:
- you are 18 years of age or older;
- you have read this Privacy Notice; and
- you consent to the collection and processing of your personal data for the purposes described.
You will not be able to proceed with the survey unless you provide this consent.
You may withdraw your consent at any time, subject to the limitations described under Withdrawal and deletion of data below.
How your information will be used
Your personal information will be used only as necessary to:
- administer the survey;
- verify participation by National-Member Society representatives;
- manage survey distribution and reminders;
- prepare the IAPD National-Member Society Networking Meeting;
- analyse international patterns and themes identified through the survey; and
- where you give separate permission, contribute de-identified information to a future publication.
Your name will not be used in reports or publications arising from this research.
Confidentiality and separation of identifiers
Only authorised members of the study team will have access to identifiable survey information.
Direct identifiers such as your name and email address will be separated from the dataset used for analysis as part of the research process.
Your country and National-Member Society may be relevant to the interpretation of the findings and may therefore remain part of the research dataset.
Because some countries may have only one or a small number of National-Member Society representatives, it may not always be possible to guarantee complete anonymity from contextual information. The research team will avoid publishing unnecessary combinations of information that could reasonably identify an individual participant.
Publication and quotations
At the end of the survey, you will be asked separately whether IAPD may use your responses, without direct identifiers, in a future publication.
You will be able to choose whether:
- your de-identified responses may be used in a publication;
- your de-identified responses may be used, but you wish to be contacted before a particular response is used as a quotation; or
- your responses should be used for internal planning purposes only.
This publication choice is separate from your consent to participate in the survey.
Storage and security
Survey responses will be collected using SurveyMonkey.
Research data will be stored securely in the University of Maryland, Baltimore institutional environment, including the UMB OneDrive environment and other access-controlled institutional systems approved for use by the study team and reviewing ethics committee.
Access to identifiable information will be limited to authorised members of the research team.
Research Data and contact identifiers will be stored separately from the dataset in IAPD’s secure Drive for the Association’s record.
International transfer of personal data
If you are located in the EU or EEA, your personal data will be transferred to and stored in the United States (University of Maryland) in connection with this research.
The data will be stored on secure institutional systems operated or approved by the University of Maryland, Baltimore. Further information about these safeguards may be requested using the contact details below.

Retention and deletion
Contact information used for survey administration will be deleted once it is no longer required for survey distribution, verification and follow-up, in accordance with the approved study protocol.
Research data are proposed to be retained for five years after the final publication, or for the period required by the Principal Investigator’s institution and approved study protocol, after which they will be securely deleted or retained only in an appropriately anonymised form.
Your data protection rights
Where the GDPR applies to the processing of your personal data, you have the right to:
- request access to personal data held about you;
- request correction of inaccurate personal data;
- request deletion of your personal data;
- request restriction of certain processing;
- object to certain processing where applicable; and
- withdraw your consent.

Withdrawal and deletion of data
You may withdraw from the study or withdraw your consent to the processing of your personal information by contacting the Principal Investigator or IAPD Association Manager.
You may also request correction or deletion of your identifiable information.
These requests can be honoured while your response can still reasonably be linked to you.
Once your information has been irreversibly anonymised, incorporated into aggregated results, or included in a published analysis in a way that can no longer reasonably be separated, it may no longer be possible to identify and remove your individual response.
Withdrawal of consent does not affect the lawfulness of processing that took place before consent was withdrawn.
